What This Means (2025 FDD)

According to Even Hotels' 2025 Franchise Disclosure Document, franchisees have a specific timeframe to implement non-hosted updates to the FreedomPay system after receiving notice. Generally, Even Hotels franchisees must commence implementing these non-hosted updates no later than twelve months after receiving notice from FreedomPay. The implementation must be completed no later than twenty-four months after the initial notice. This allows for a one-year window to begin the process and a two-year window to finalize it.

However, there are exceptions to this general rule. If a non-hosted update is required due to legal, network, PCI, or other regulatory requirements, the Even Hotels franchisee must implement the update in accordance with the specific date mandated by the relevant law or requirement. This means the standard 12- and 24-month deadlines do not apply in these cases; instead, the franchisee must adhere to the timeline dictated by the external mandate.

Failure to comply with these update requirements can have serious consequences for the Even Hotels franchisee. FreedomPay reserves the right to terminate operational support for the prior software release if a franchisee fails to implement a non-hosted update as required. This termination can occur even if the franchisee continues to use the older software version. Therefore, it is crucial for franchisees to stay informed about update notices from FreedomPay and to adhere to the specified implementation timelines to avoid disruptions in service and potential compliance issues.
