What This Means (2025 FDD)

According to Embassy Suites By Hilton's 2025 Franchise Disclosure Document, franchisees must use the brand's required business computer systems, including the OnQ system, which connects hotels to Hilton's reservation offices and travel planners. The OnQ system comprises proprietary components for reservations, property management, revenue management, rate and inventory management, forecast management, and learning management. The complete OnQ package includes hardware, software, installation, and support. Franchisees may acquire the hardware from Hilton's affiliate, HSS, or its preferred providers, or from other third-party vendors. However, the OnQ software components must be acquired from HSS or Hilton's designated vendors because certain elements are proprietary.

The FDD specifies that if a franchisee purchases the standard OnQ package from HSS, the estimated cost will range from $70,576 to $151,184 for a prototype-sized hotel. This range includes hardware, software, installation, and certain other costs and fees, and is based on the size of the hotel and the number of workstations. The FDD notes that a separate market price for the OnQ system cannot be determined because there is no third-party market for OnQ in its entirety.

Embassy Suites By Hilton requires franchisees to update and upgrade the OnQ system at least every three years, or such longer period as Hilton may specify. The cost of this refresh is anticipated to be the same or less than the cost of the original installations, excluding any elements that were needed for the original installation only. All computer system costs are subject to change and are normally not refundable. Prospective franchisees should carefully review Item 11 of the FDD for a more detailed description of the required and recommended computer systems.
