What This Means (2025 FDD)
According to Embassy Suites's 2025 Franchise Disclosure Document, HSS (presumably Hilton Supply Management or a similar entity) is not obligated to maintain or repair equipment other than the Authorized Equipment. Furthermore, HSS is not required to repair or replace expendable or consumable components. These components include items such as cables, cords, ribbons, paper, toner cartridges, print wheels, drums, batteries, or diskettes, regardless of whether they are defined as Authorized Equipment.
This means that while HSS is responsible for maintaining and repairing the core, approved equipment within the Embassy Suites information system, the franchisee is responsible for the upkeep and replacement of these smaller, frequently used items. This is a fairly standard practice in franchising, as these types of consumables are typically considered the franchisee's operational expense.
As an Embassy Suites franchisee, it is important to factor in the costs associated with these expendable and consumable components when budgeting for ongoing operational expenses. Franchisees should also clarify with HSS or the Preferred Provider the exact definition of "Authorized Equipment" to fully understand the scope of HSS's maintenance responsibilities and the franchisee's responsibilities for other components.
