What This Means (2025 FDD)

According to Cool Binz's 2025 Franchise Disclosure Document, Cool Binz has the right to specify the brands, types, makes, and models of computer systems and hardware that franchisees must use. This includes a compatible "back office" computer system, a point of sale system (POS), printers and other hardware, archival back-up systems, internet access mode and speed, and physical and electronic security systems. The cost of the computer system is estimated to be between $3,000 and $5,000.

This requirement extends to software as well. Cool Binz may develop software that franchisees must use for customer records, bidding, estimates, and general business operations. Until Cool Binz develops its own software, franchisees must use designated software for business management and accounting, which is currently QuickBooks Online but is subject to change. Franchisees must also adhere to Cool Binz's specified chart of accounts.

Cool Binz can also require franchisees to upgrade their computer hardware and software as technology advances. While Cool Binz does not currently charge for software updates, franchisees are responsible for the costs of hardware upgrades, which Cool Binz estimates will not exceed $5,000 annually, though this cost can vary. Franchisees must also participate in any system-wide computer network that Cool Binz implements and use it to submit reports, view manuals, download advertising materials, and communicate with Cool Binz and other franchisees.

Cool Binz also has the right to access a franchisee's computer system to monitor or retrieve data. Franchisees must provide all access codes and IP addresses to facilitate this access. All client and customer data is the property of Cool Binz and must be provided to them upon termination or expiration of the Franchise Agreement.
