What This Means (2025 FDD)
According to Cool Binz's 2025 Franchise Disclosure Document, Cool Binz requires franchisees to use designated accounting software, currently QuickBooks Online, and follow a specified Chart of Accounts. Cool Binz retains the right to change these requirements. Importantly, Cool Binz will have automatic password access to the franchisee's financial reports within this system. This access enables Cool Binz to monitor the franchisee's financial performance and ensure compliance with the franchise agreement.
Cool Binz also requires franchisees to use COOL BINZ Software or other designated software for maintaining customer records. The franchisor has confidential access to the franchisee's databases and related information from this software. This access is used to compute royalties due on gross sales and to conduct other evaluations and verifications. Franchisees must also establish and maintain an accounting system that conforms to Cool Binz's requirements and formats.
Furthermore, Cool Binz requires franchisees to furnish various financial reports, including income statements, profit and loss statements, cash flow statements, and gross sales reports, at specific intervals or upon request. Franchisees must also provide copies of tax returns and financial projections. Cool Binz is permitted to disclose data derived from these reports without identifying the franchisee or the business, unless written consent is provided. Franchisees must also allow Cool Binz timely access to their computer systems to retrieve information related to the operation of the Cool Binz business.
The franchisor's access to financial data and the requirement to use specific software are common practices in franchising, allowing the franchisor to maintain oversight and ensure brand consistency and financial accountability across all franchise locations. However, prospective franchisees should carefully consider the implications of granting such access and ensure they are comfortable with the level of scrutiny involved.
