The Hyatt IT Systems Bid Book will include specified pricing for standard computer systems (the "Bid Book"). Hyatt will designate a Consultant (the "IT Project Manager") to manage property project plans from checklists to final signoffs, manage and maintain an updated issues list, as well as review the existing documentation regularly in order to update the master based on real time adjustments. Further, the IT Project Manager will be responsible for timely delivery of IT Site Reports after all onsite visits.

According to the 2025 Caption By Hyatt Franchise Disclosure Document, Hyatt will designate an IT Project Manager to assist franchisees with the installation of information technology systems for their hotels. This IT Project Manager's responsibilities include managing property project plans from checklists to final signoffs, maintaining an updated issues list, and regularly reviewing existing documentation to update the master plan based on real-time adjustments. Caption By Hyatt franchisees are responsible for performing tasks identified in Exhibit E of the Franchise Agreement in a timely manner. This includes providing written notice to Hyatt of the franchisee's designated representative. The franchisee is also responsible for all site preparation at the hotel related to the IT Project Management Services, including climate control, physical safety and security, adequate electric and telecommunications utilities, and wiring for all equipment and devices. Additionally, the franchisee must provide workspace, supplies, hardware, and software reasonably required for each assignment.
It is important to note that Hyatt's performance of the IT Project Management Services depends on the franchisee's timely and accurate performance of their responsibilities. Failure to do so may delay Hyatt's performance or require modifications to the services, potentially affecting the scope of work, completion schedule, or fees. The franchisee is also responsible for procuring all software, equipment, and other goods required for their business operations directly from third-party vendors and must comply with the terms of all underlying third-party agreements, including software license agreements. The franchisee must also engage a third-party service provider to support all third-party hardware and software installed at the hotel, with this engagement in place by the time Hyatt completes all Services.
