According to Basecamp Fitness's 2025 Franchise Disclosure Document, a Principal Owner of the business is required to attend the annual Basecamp Fitness conference. Even if the Principal Owner does not personally supervise the Basecamp Studio, they must still attend the conference. Additional representatives may also attend, provided they are registered and the appropriate fees are paid.

The conference may be a live or virtual event, and the franchisee is responsible for covering all travel and living expenses incurred by themselves and their representatives. If the Principal Owner fails to attend the annual conference, Basecamp Fitness will bill the franchisee the then-current "early bird" conference fee after the conference has concluded.

If Basecamp Fitness does not hold a conference, the franchisee must send a representative to a "Vitals" program, if offered. This program typically includes training in areas such as marketing, client engagement, and member service. This training will be conducted in a virtual format or at a location designated by Basecamp Fitness, at their discretion. The franchisee will be charged the then-current fee for this training course, plus Basecamp Fitness's costs to conduct the training, with fees payable before the training occurs.
